Assistant, Special Events and Strategic Cause Partnerships


Job Summary:

The Assistant for Special Events & Strategic Cause Partnerships is responsible for providing comprehensive administrative tasks that ensures the seamless execution of organization sponsored events and the delivery of standardized reporting to ASPCA Partners.  This position prepares material for the Board of Directors, various benefit committees and general events, as well as coordinates reporting needs for ASPCA Partnerships. Daily responsibilities will be split between the Special Events and Strategic Cause Partnerships teams.

 Job Responsibilities:

  • Support key ASPCA special events including Young Friends, Bergh Ball, Humane Awards and Los Angeles based events
  • Prepare material for committee chairs, the Board of Directors, Special Events Director and outside vendors in order to develop special events plans and goals
  • Track/file expense reports and submit invoices from vendors for payment
  • Maintain and format all donor mailing lists
  • Collaborate with Major Gifts and Data teams to process all gifts including bank deposits, credit cards, acknowledgement letters, monthly gifts, and invoicing of pledges
  • Coordinate meetings, conference calls and deliveries
  • Maintain ASPCA databases with event donor updates (ensure personal updates and addresses are changed) and maintain proper donor tags in database when contribution is made
  • Track returned mail and faulty addresses
  • Assist with research projects
  • Update presentations and letters
  • Provide monthly vehicle usage reports to Subaru of America (SOA) for all vehicles assigned to the ASPCA
  • Maintain list of community based adoption events in Subaru retailer zip codes, and enter details into custom Strategic Cause Partnershipsdatabase (SCP database)
  • Assist with research and data entry of Subaru pet related events into database, including: Share the Love, Subaru Loves Pets, Subaru Local Supported, and Subaru Corporate Sponsored
  • Update Subaru retailer and shelter contact information in database
  • Track and gathering screenshots where Subaru is promoted in ASPCA channels
  • Update Subaru benefits activation calendar when needed
  • Assist with the gathering of photos, screenshots, and other relevant content from Subaru retailer/shelter events

Education:  Bachelors Degree required

Experience:

  • 1+ years of experience in non-profit fundraising/development and/or special event management preferred
  • Previous experience working in team environment
  • Experience with MS Word, Excel, and PowerPoint (speed and accuracy with each application is essential)
  • Proficient in Raiser's Edge and SalesForce database applications

  • Demonstrated self-starter, and committed to providing high quality service
  • Take initiative and make recommendations
  • Display excellent writing, proof reading and communications skills
  • Maintain professionalism in high pressured situations
